Shared Service Centers (SSCs) are increasingly becoming the strategic choice of organizations looking to consolidate and centralize operations across the processes that achieves cost reductions; better service levels and enables a tighter, more efficient, enterprise-wide control environment. An international pharmaceuticals company happens to be one such organization.The organization is an integrated, research based, international pharmaceutical company producing a wide range of quality, affordable generic medicines, trusted by healthcare professionals and patients. The organization was looking for an effective solution that could manage the tedious tracking and maintenance of thousands of physical documents. The solution was also required for managing the physical movement of papers across locations, incase of getting approvals other than the Accounts department. The existing process was incurring costs and increasing the time taken for invoice processing.

Newgen offered a workflow solution integrated with SAP (ERP). All the invoices with the supporting documents are received at the SSC where they are scanned, indexed and exported to Newgen’s OmniFlowTM for further processing. The categorization of the invoice is done on the basis of Purchase Order (PO) and Non-PO invoices. These invoices are scanned across the different locations. In OmniFlowTM, the workitem is segregated on the basis of the business area and routed to the specific user(s) correspondingly. The implementation allows the users to archive external documents in the OmniDocsTM, using the SAP interface as well as view/ download/ print the documents online.

Newgen’s solution has shortened the Turn Around Time (TAT) for the invoice processing. The solution has valuable features like Dashboard and customized reporting structure to enable total control over the SSC’s activities. The account payables team can now use a single application to create and view the vendor payment invoices. OmniDocsTM repository helps in saving the document image and can be accessed by a single click on the workflow. The solution tracks the service invoice process and follows a workflow to speed the approval cycle and increase the overall productivity.
