As the summer sets in and people head to the various tourist destinations to beat the heat, tour and travel companies are witnessing frenzied activity. This is especially true for big travel companies who on one hand have to manage large clients, and arrange for their customers’ travel, boarding and lodging; while on the other hand they have to quickly launch new schemes, efficiently process innumerable documents and maximize productivity of the workforce to positively impact its top and bottom line.
One company, which is fully geared to easily manage all this is The Kuoni Travel Group, India. India’s largest Travel&Tourism company roped in Newgen’s solution to manage a huge number of documents as part of payables and receivables for clients and suppliers, spread across various industries such as such as airlines, hotels and other services. Various offices of Kuoni, spread across the country, used to send paper documents for processing to their respective divisional finance offices/teams. With their fast-expanding operations, Kuoni realized that there was an imminent need for an efficient and effective Document Management System (DMS).
With an objective to centralize group’s financial activities, Kuoni India set up two Shared Service Centers in India, and implemented Newgen’s DMS solution. Newgen worked closely with PriceWaterhouseCoopers to implement the solution across all the lines of businesses of Kuoni. The implementation successfully automated covered critical finance processes such as Accounts Payable, Accounts Receivable and multiple internal-approval processes. Newgen solution has been integrated with SAP, allowing users at the Shared Service Center to view images from within the SAP entries and make image-based entries.
By centralizing and detaching the finance function, the solution helps Kuoni to focus on its core business and strategizing. Kuoni obtained multiple benefits such as reduced paper work, easier storage, routing and archival of documents, better sharing and collaboration of data to facilitate quick and informed decision making, reduced manpower costs, better risk management and risk compliance, among others.
Recent months have witnessed Newgen in constant limelight. Right from being covered in CNBC TV 18’s Emerging India; to applauds from Bloor, a highly reputed IT research company; to winning the inaugural The World is Open Awards sponsored by Red Hat Linux and participating in 2nd Life Insurance Summit; to a flurry of international and national orders. A statutory agency in Malaysia chose Newgen to bring in efficiency in its time-consuming investigations. Newgen won an order from Sahara’s prestigious undertaking, Aamby Valley, to centralize and automate its document management. GIPCL identified Newgen as the preferred vendor for providing a document management solution and its integration with SAP. GTL, a leading Network Services company, chose Newgen to streamline and automate its document management. IL&FS, the infrastructure development and financing giant, put faith in Newgen for managing huge influx of documents. Finally, Newgen won an order through TCS for providing document management and workflow capabilities for a centralized Web-based Insurance System being implemented at India’s leading non-life insurance company.

Bloor Features Newgen Software as an Innovator in its Enterprise Content Management Report

Newgen, a Winner at the Inaugural Red-Hat “The World is Open” Awards
Skoch Consultancy Services, in collaboration with Red Hat India, recently awarded Newgen Software as the winner of “The World is Open” awards for implementation of its state-of-the art BPM solution, using open sources, at Deutsche Bank. The awards, in their first year, received a large number of nominations from various private and government IT companies totaling 163. The projects were nominated under various categories, which included Governance, Banking, Financial Services, Education, Infrastructure, Telecom and Healthcare amongst others. Newgen won the award in Banking category.
The awards are presented to recognize adoption of open source technologies or components in implementing enterprise-grade solutions, which require top-line robustness, security and scalability. Several parameters, including effectiveness in delivering project objectives, open standards, relevance, innovation, scalability and flexibility, went into deciding the winners.

Newgen Participates at 2nd Asian Life Insurance Summit
Newgen recently participated at the 2nd Asian Life Insurance Summit held on April 16 and 17 in Hanoi, Vietnam. The theme of the summit this year was “Strategies for Success in Meeting the New Challenges of the Day.” The summit brought together leading local, regional and global life players together to address the critical issues facing the life insurance markets in Asia today

A Statutory Agency in Malaysia Smartens up Investigations with Newgen Solution
The statutory agency in Malaysia for protecting investors' interest recently acquired Newgen solution to efficiently manage and track the deluge of documents, vital to its investigations in various cases.
The agency’s primary aim is to protect investors by ensuring proper conduct of overall market and businesses. For this, it conducts raids and investigates into irregularities. Investigating a case involves a large number of various types of documents, such as company financials, reports, legal documents, etc. With a large number of cases being handled by the agency, there was a pressing need for managing the physical and digital documents.
Newgen’s Document Management (OmniDocsTM) and Records Management (RMS)-based solution, shall be used for managing digital and physical documents and records. The solution would ensure that once the raid is conducted by the investigating agency and documents/records related to sealed assets are captured for further investigation, these documents/records are easily kept track of and are quickly produced before investigating officers for speedy processing.

Newgen OmniDocsTM for Managing Documents at Aamby Valley
Aamby Valley, India’s first-of-its-kind self-contained city, provides residential options and business and recreational facilities amidst the most natural surroundings. Aamby Valley has drawn huge interest from various quarters. This has led to significant increase in amount of paper work in various departments at Aamby Valley such as Legal, Accounts, Customer Delight and Planning.
With the growing load of documents, such as agreements, contracts, invoices, architectural blueprints, the company sought a solution that could provide anytime, anywhere access to documents and easily maintain and manage documents. Newgen OmniDocsTM fitted the company requirements perfectly. Documents would be scanned using OmniScanTM and stored in OmniDocsTM repository. Scanned documents would be stored in a hierarchical structure with right-based access to users of the various departments. Document would be indexed prior to storing in OmniDocsTM to enable quick retrieval by the users. Scanning will be done in Mumbai, whereas the Application Server and the Database server will be configured at Lonavala. A 2Mbps line connects Mumbai and Lonavala offices. Users of the concerned departments would be able to access document over the Internet.
The solution, apart from providing round-the-clock access to documents, would also eliminate redundancies in documents and cut substantial costs related to managing documents.

GIPCL Powers Ahead with Newgen ECM solution
The state-owned Gujarat Industries Power Company Limited (GIPCL) recently placed an order for enterprise-wide implementation of Newgen OmniDocsTM and its integration with SAP. The order is for four departments of GIPCL: Electrical, Purchase and Stores, Mechanical, Instrumentation. The integration would cover Purchase, Materials Management and Finance modules of SAP.
GIPCL is looking at implementing an enterprise-grade content and document management system for centralized management of files and documents, and automate file movement across its various offices spread over two cities, Baroda and Mangrol. Using the solution, GIPCL plans to completely manage the entire document life cycle, efficiently archive, store, and quickly retrieve files and quickly track file movement. In addition, GIPCL also plans to integrate the solution with already deployed SAP.
Newgen solution would comprise OmniDocsTM, OmniScanTM, OmniAcquireTM, Whitehall and SAP connectors. The solution would also involve image-enabling SAP, thereby enabling users to view scanned document images from within the SAP environment. Also, information can be directly pushed into DMS from SAP.

Newgen to Partner TCS for a Centralized Insurance Solution at the Leading Non-life Insurance Company in India
Newgen Software received a large order through TCS for providing enterprise document management and workflow solution for the centralized Web-based Insurance System at the largest non-life insurer in India.
The project would be implemented over the current financial year, and involves digitizing all the policy documents, centrally managing digitized documents using OmniDocsTM, and integrating the solution with various other components of the insurance system. The company also plans to implement workflow for processing of documents. The enterprise-grade solution would be able to process nearly twenty million policies issued every year by the company.
Newgen would provide OmniScanTM, the bulk scanning solution; OmniDocsTM, the Enterprise Document Management System; RMS and Whitehall. After the initial pilot implementation, the solution would cover all the offices of the company across India.

GTL to Manage Growth using Newgen Solution
GTL, a leading Network Services company, placed an order for Global Pro Server Ltd., part of the GTL group, to bring a revolutionary change to the way they manage documents. The company manages switch and base stations for various telecom operators. This requires handling a large number of documents (legal, technology, engineering, etc.), which need quick access and regular archival. Also, these documents are to be shared to the telecom operators and their internal departments. The company wanted a robust and a reliable document management system, which could smoothly integrate with their existing Primavera, MS office and e-mail systems.
Newgen solution offering includes OmniDocsTM, OmniScanTM, LDAP, and integration services (in second phase), with 50 concurrent users of OmniDocsTM. The solution will be implemented at a central location in Mumbai. ISSL was looking for a document management system to efficiently manage its electronic and paper document for their F&O and Depository department. The project would be finished in two phases, OmniDocsTM Implementation and Migration from Stax.
