1. What is Document Management? |
Document Management is the process of managing documents through their lifecycle. From inception through creation, review, storage and dissemination all the way to their archival or weeding out. |

2. What is Imaging? |
Imaging is a method for converting paper documentation into an electronic format, using scanners and associated techniques such as Optical Character Recognition, etc.
Although clearly related, Imaging is only one of the techniques used to introduce document into a Document Management environment. Today, most documents start life in electronic format and, wherever possible, you should try to use the original source of the document rather then a scanned image. |

3. Does a digital document lose its original format or quality? |
No. The document on the screen looks exactly like the original document, including all images, handwritten notes, signatures, etc. The quality of the digital document depends only on the scanning quality. We tuned up the scanning procedures to make sure the digital documents have the best possible quality. So if you print the digital document the print copy will look "exactly" the same as original document). |

OmniDocs compresses the document using CCIT G4 technology. Paper based documents are digitized and saved in TIFF format. |

12. What is the effective speed of scanning documents? |
The scanning speed depends on the rated speed of the scanner, the configuration of the machine, and regular maintenance of the scanner. Any high-end scanner can efficiently handle bulk Scanning and backlog conversion. Document separators can be used to identify a new document while scanning. This eliminates any manual intervention requirements. |

13. What is the limit to the number of Folders and Sub-folders that can be created? ? |
There is no limit to the creation of folders and sub-folders. The Windows explorer like
interface, lets you create and display a as many folders and sub-folders as you like. |

14. What are the various kind of imaging functions available? |
You can perform the following operations:
* Merge, Split and Divide documents
* Zoom In and Zoom Out
* Rotate
* Flip (Horizontal and Vertical)
* Negate
* De-skew for skewed imagess. |

15. How is version control maintained for image documents? |
Image files are saved as a single version with the updated changes that are made from time to time. In case of non-image documents, however, a separate version is stored every time you work on the document. OmniDocs by default will open the latest version. |

16. What is the significance of Workflow in collaborative working on documents? |
Workflow is the process of routing and tracking of documents, messages and forms within the Workgroup by initiating them as work items. Work item automates the process and gives the facility of marking notes and taking actions on the documents. Combined with extensive search and reporting facilities, OmniDocs workflow becomes a powerful tool for automating common document processing activities within the Work Group. |

17. Can a log of user actions be maintained? |
Audit Trail is an account of the operations that are performed on the cabinet by any of the members. It helps to establish accountabilities, and estimate the effort of members. The actions for which an Audit trail can be viewed are classified as user actions, folder actions and document actions. The details for the specified criteria are displayed for the specified period. Therefore, you can search and find out the status of a file. The system generates alarms to pre designated users incase the file is stuck with the user more than a predesignated time. |

18. What about security and confidentiality of documents? |
OmniDocs is secure system in which each user is assigned unique user ID and password. Users are assigned rights and privileges on cabinets, folders and documents. Privileges enable the user to perform administrative functions whereas access rights are the permissions to access, modify and delete folders and documents. |

19. How is the integrity of a document maintained? |
Tracksheets and digital signatures can be used to ensure the integrity of a document.
Tracksheet: It is a summary of all the actions taken on the workflow. Thus, whether a user views, annotates, forwards or returns the document, it would all be logged for subsequent users and for reporting purposes.
Digital Signatures: Adopting a strategic implementation of the PKI (digital signatures) can strengthen image encryption at the database level. This scheme of security ensures that all your documents are decrypted with your Public Key and no tampering has happened since it was last saved. |

20. How is a backup taken? |
OmniDocs provides easy way to backup documents for offline storage. The documents and the indexes are stored into the Windows directory and user can just take the backup of the Windows directory. |

21. How can a backup be taken in case of a data loss? |
The back up of the cabinet can be taken on a CD, which can be stored at a safe place away from your business premises. In case of the disaster these CDs can be made on line and the documents along with the indexes can be restored. |

22. How do I decide which technologies to use? |
Document Management is typically associated with a host of other technologies: Imaging, Workflow, Intranet, Internet, Web sitetext Management, Knowledge Management.
